SOLEK: Transparent HR system across continents

When the number of employees grows, Excel spreadsheets and papers cease to be enough. Therefore, within four weeks, SOLEK deployed Pinya HR to unify the records of hundreds of people in 11 countries. How did they manage to connect teams across continents and create a flexible HR system tailored to their needs? Read this in this case study.
The radical growth of society always brings with it changes. This is also true of human resources and the related HR agenda. What previously Excel spreadsheets were enough for in them is suddenly not sustainable. Information is gaining momentum and employees are increasing. When the number of employees in the company LEFT-HANDED exceeded 300, they decided to take a big step forward and set out on the path of digitizing their HR processes.
SOLEK is oriented to the renewable resources market with a focus on the production and supply of photovoltaic energy. Sustainable resources are a big issue today, linked to the growth in demand for clean energy and the expansion of a company that has realized its potential and now operates in 11 countries around the world with power plants of more than 295 MWp.
HR software that fits all processes
The main requirement for a new HR system sounded clear - they must have such functions that can be adjusted according to their international needs. Most of the employees are concentrated in Latin America in the state of Chile, while the European part is managed from the headquarters in Prague. And although SOLEK operates between continents, it was essential for them to have all the data in one place so that anyone, regardless of the country, could easily access it.
Barbora Detary, SoleKu's People Experience Manager, and other colleagues were looking for a solution that would help them replace the attendance system with negative attendance records and one that does not address payroll issues, but can be linked to payroll software. Of course, there was a demand for intuitiveness and language mutations. Pinya HR proved to be the best of the 8 tested solutions, and after two months of selection, the decision was made.
How did Barbora find out about us?
“I got a referral from a former colleague who works as an HR manager at a small company where your HR software was being implemented. She recommended you even though they were not yet using Pinya HR to the fullest, because you impressed her in the initialization negotiations. So we added Pinya HR to the selection process and in retrospect I consider it a very good decision, because her words were only confirmed to me. I was very impressed that nothing was an obstacle for you and we managed to tailor the software to our specific HR processes,” says Barbora.

Implementation of a new HR system within a month
Pinya HR was not the first Personnel Softwarewith which Barbora Detáry had honor in her professional life. Therefore, she was very pleasantly surprised by the speed of implementation, which together with the training took only 4 weeks.
What I really need to highlight is the speed of your reactions. You reacted practically from day to day, you gave us test approaches and immediately the product manager Dita Salajková started working with us. We started the training, which we had on a weekly basis and in a month it was done,” recalls Barbora of the introduction process.
Although more than half of the employees are from Latin America, the training was conducted only in Czech, with Barbora directly transmitting the necessary information to the HR department in Chile. After the end of the training and the mass import of employee data, access data was sent to all 320 employees, thanks to which they could immediately view their data, request leave or confirm the receipt of assets with one click.
In addition, to Pinya HR employees from Chile can watch in their native language, because thanks to SOLEK we have expanded the list of language mutations to include Spanish.
One system for all
“Maybe it's a cliché, but what really helps me the most is that I have all the data in one place and I can do any reports on it,” Barbora Detáry answers when asked what makes Pinya HR easier for her work. There's nothing to wonder about. Thanks to the list of employees, it can easily specify which groups of employees the report should relate to and what data it should display.
“It's great that with other colleagues from the HR department, whether from Prague or Chile, we can look at employees from Europe and Latin America separately or together. We can always adapt it to what data we need at the moment.”
One of the great advantages of acquiring the Pinya HR was that they could get rid of the classic attendance boogers in SOLEK. The sophisticated module for requests and approval of absences pleased not only HR people, but also other employees who did not have to log in and log out when arriving or leaving work. It is enough for them to request leave or another absence through Pinya HR. And thanks to the mobile application, they can do so at any time and from anywhere.
HR Software It also brought more transparency to SOLEK. Although they have a corporate intranet, employees do not actively visit it. And since they want employees to be up to date, they went the other way and decided to use the module News in Pinya HR. Thanks to notifications, employees learn about news as soon as they are published, and they come across them every time they log in to their account. In doing so, news can be targeted according to different criteria, such as country, department or job position.

From 3 hours to 10 minutes
The areas that Pinya HR covers are many, that's why they go for it in LEFT-HANDEDu gradually. In addition to the registration of employee data themselves, they began to use the possibility of generating contracts at the very beginning, setting up onboarding and property records.
“Property records have saved us a lot of time. Before, we had chaos, some assets were managed by colleagues in IT, some in the back office. Now we have it all in one place and we can finally tell with certainty who has taken over what property. This is also suitable for an audit, which can no longer surprise us unpleasantly. “
But Barbora herself is most pleased with the ability to make reports simply and with a few clicks. That was her wish when choosing HR Software. Thanks to Pinya HR, it came true. Not only she, but all HR colleagues benefit from the benefits of easy reporting.
“If an HR manager needs a report from me, for example, with the number of appointments per year, I will prepare it for her in 10 minutes. Before that, it would have taken me about 3 hours. So the time savings are great,” says Barbora enthusiastically.
Since the development of new Pinya HR functions does not stop, the HR team gradually goes through all the ones they want to use. These include, for example medical examinations, checklists or set up custom notifications to remind them of the end of the trial period. And in order to fine-tune the automation and digitization of SoleK's HR processes to perfection, we are working to connect Pinya HR with other systems via API interfaces. This will prevent duplicate data entry and help the company make work even easier and save time.
